Privacy Policy

1. Who we are

hiringMD ("hiringMD", "we", "us") operates a recruiting marketplace that connects vetted talent with telehealth brands. This policy explains what personal data we collect, why we collect it, and the choices you have.

2. Data we collect

• Account data: name, email, password hash, role (candidate, client, admin) and authentication metadata.
• Candidate profile data: location, phone, LinkedIn and portfolio links, CV files, skills, niches, seniority, availability, rate and salary expectations, references and work samples.
• Client data: company details, job requirements, hiring feedback and communication with our team.
• Usage data: pages viewed, applications submitted, emails opened or bounced, and basic device/log information.

3. How we use your data

• To create and verify your account and profile.
• We record anonymous usage of the site - pages viewed and where visitors arrived from - using a first-party identifier stored in your browser. We do not collect IP addresses for analytics and we do not share this with third parties.
• To score and match candidates to open roles, including automated fit scoring and AI-assisted assessment of submitted profile information. A human reviews any match before it is shared with a brand.
• To introduce approved candidates to clients and manage the hiring process.
• To send transactional emails, job digests and service updates.
• To calculate, invoice and collect placement fees, and to keep records required by law.
• To detect fraud, misuse and duplicate or misleading profiles.

4. Sharing your data

Candidate profiles are only shared with a client after an internal review and only with brands relevant to the role. We also use trusted processors to run the service: cloud hosting and database, email delivery, AI model providers used for matching and assessment, and internal workspace tools used by our recruiting team. We never sell personal data.

5. Retention

We keep profile and application data while your account is active and for as long as needed to comply with legal, accounting and dispute-resolution obligations. You can delete your account at any time from your profile settings, which removes your profile from the marketplace.

6. Your rights

Depending on where you live, you may request access, correction, deletion, export or restriction of your personal data, and object to certain processing. Email privacy@hiringmd.com and we will respond within 30 days.

7. Security

Access to candidate and client records is restricted by role-based permissions and row-level database policies. No system is perfectly secure, so please use a strong, unique password and tell us immediately if you suspect unauthorised access.
